RunMyShop is an AI receptionist service operated by Kitchener AI ("we", "us"). It answers phone calls for the businesses that sign up ("customers") on a phone number we provide. This policy explains what information we handle, why, and the choices you have. It covers two groups of people: customers who use the service, and people who call a customer's number ("callers").
1. Information we collect
From customers.
- Account details: your name and email address, used to sign you in. Sign-in is handled by Clerk; we do not store your password.
- Business details you give us: your business name, address, phone number, hours, services, prices, team members' names and phone numbers, and anything you add to your receptionist's knowledge so she can answer callers.
- Billing: your subscription status and plan. Payments are processed by Stripe; we never see or store your full card number.
- Usage: how you use the dashboard and the marketing pages (page views, clicks), collected with privacy-focused analytics. We do not run advertising trackers.
From callers.
- Call details: the caller's phone number, the date, time and length of the call, and what the receptionist did (took a message, booked an appointment, put the call through).
- What was said: a transcript of the call, a short summary, and the name, number and message a caller chooses to leave. Where a customer has turned on call recording, the audio of the call.
- Appointments: the name, phone number and appointment details a caller gives when booking.
2. How we use it
- To answer calls on the customer's behalf, take messages, book appointments and send those details to the customer by email or text.
- To text a caller a confirmation or a link when the customer's plan includes it and the caller asked for it.
- To show customers their call history, messages and appointments on their dashboard, and to send them a weekly summary.
- To bill the subscription and prevent abuse of the service.
- To keep the service working, fix problems and improve how the receptionist handles calls.
We do not sell personal information, and we do not use call recordings or transcripts to train artificial-intelligence models.
3. The AI on the call
The receptionist introduces herself as an AI assistant at the start of every call. To understand and reply to a caller, the words spoken on the call are sent to speech-recognition and language-model providers during the call. Those providers process the audio and text to deliver the service and, under our agreements with them, do not use it for their own purposes.
4. Who we share it with
We share information only with the service providers that run the product, each bound to use it solely to provide their service to us:
- Hosting and databases; telephone carriers and the real-time voice network that connects calls; speech-to-text and text-to-speech providers; language-model providers; the email and text-message delivery services that carry messages to customers and callers; sign-in (Clerk); payments (Stripe); file storage for any recordings; and analytics on our own pages.
- The customer whose number was called: a caller's number, message, transcript and any booking are shown to that customer, because that is the purpose of the call.
- Authorities, where the law requires it, or to protect the rights and safety of our customers, callers or the public.
Some of these providers operate outside the country you are in, and information may be processed there under their safeguards.
5. Call recording and consent
Transcription is part of answering a call. Audio recording is a setting the customer controls and is off by default. The customer is responsible for telling callers that calls may be recorded where the law requires it; the receptionist's greeting identifies her as an AI, and customers can add a recording notice to it.
6. How long we keep it
- Call details, transcripts, messages and appointments are kept while the customer's account is active, so the customer can see their history.
- When a customer closes their account, we delete their business details and call data within 30 days of their request, except what we must keep for billing, tax or legal reasons.
- Billing records are kept for as long as the law requires.
7. Your choices and rights
- Customers can see and edit their business details and delete their receptionist from the dashboard, and can ask us to delete their account by emailing support@runmyshop.ai.
- Callers who want to know what a customer holds about them, or want it corrected or deleted, can ask that business directly or email us; we will pass the request on and help carry it out.
- Everyone can ask us what personal information we hold about them, ask us to correct it, or withdraw consent where consent is the basis for processing, subject to the law that applies.
8. Security
Information is encrypted in transit; access to production systems is limited to the people who operate the service; keys and secrets are kept out of the code. No method of storage or transmission is completely secure, so we cannot promise absolute security, and we will tell affected people and the authorities about a breach where the law requires it.
9. Children
The service is for businesses and is not directed at children. We do not knowingly collect information from anyone under 18 as a customer. Callers may be of any age, and their information is handled as described above.
10. Changes
When we change this policy we will update the date at the top and, for significant changes, tell customers by email or on the dashboard.
